How to Build a Sales Pipeline Dashboard in Power BI or Excel

A sales pipeline dashboard gives your business a live view of what is coming in, when it is expected, and where deals are getting stuck. Without one, pipeline management relies on CRM reports that are out of date by the time they are produced, or on weekly updates from salespeople that are optimistic at best. A properly built pipeline dashboard shows the current picture — connected to live data, updated automatically.

What a sales pipeline dashboard should show

The core metrics for a sales pipeline dashboard are: total pipeline value by stage, expected close dates and weighted pipeline, conversion rates between stages, average deal size and time in each stage, pipeline by salesperson or team, and new pipeline added versus deals won and lost in the period. Together these answer the questions that matter most in sales management — how much is coming, when will it arrive, and where are we losing deals we should be winning.

Power BI vs Excel for pipeline reporting

Both tools can deliver a strong pipeline dashboard. Power BI is better when multiple people need to filter and explore the data interactively. Excel is better when the pipeline report is a formatted document that gets sent to a weekly meeting — automated, consistent, and requiring no software beyond what the recipients already have.

Connecting to your CRM

Most CRM platforms — Salesforce, HubSpot, Pipedrive, and many others — have APIs or data export capabilities that Power Query can connect to. The connection pulls current pipeline data automatically, so the dashboard always reflects what is actually in the CRM rather than what someone remembered to update in a spreadsheet.
