Every major accounting software package — Xero, Sage, QuickBooks — has a reporting function built in. The problem is that the reports are static snapshots that require someone to log in, configure the parameters, and export the output. For businesses that need the same financial data every week or every month, this process is an unnecessary overhead. Live reporting removes it entirely.
What live reporting actually means
Live reporting means your financial data — P&L, aged debtors, cash position, VAT summary — updates automatically in your reporting tool without anyone exporting anything. When a new invoice is raised or a payment is received, the reports reflect it. When your finance director opens the dashboard on Monday morning, they are looking at current data, not last week's export.
How the connection works
All three major accounting platforms — Xero, Sage, and QuickBooks — have APIs that allow direct data connections. Power Query, built into Excel and Power BI, can connect to these APIs and pull financial data automatically on a refresh schedule. The connection is built once and runs indefinitely. The person who used to spend time on export and reformat is freed for work that actually requires human judgement.
What to build first
The highest-value live reports for most UK businesses are aged debtor reports and P&L summaries against budget. Both are genuinely time-sensitive: the aged debtor picture changes daily, and a P&L that is two weeks old is not useful for making decisions. Getting these two reports live is the starting point for most businesses moving from manual to automated financial reporting.
