The volunteer running your local football club membership has probably been doing it in Excel for longer than they care to admit. The name on the spreadsheet changes every few years when the previous secretary gets fed up. The data degrades a little each time. By the time someone asks a question the current secretary cannot answer, the answer requires forensic investigation of a spreadsheet edited by six different people over five years.
Why the spreadsheet keeps winning
Membership management software for sports clubs exists. Pitchero, ClubSpark, TeamApp, Spond. All of them have features the spreadsheet does not. None of them have been adopted en masse by grassroots clubs, and the reason is almost always the same: the volunteer doing the admin job does not want to learn a new system, and the committee does not want to pay a subscription for something that seems optional when the spreadsheet sort of works.
What Pitchero actually does
Pitchero is the most widely used club management platform in UK grassroots sport. It handles membership registration with online payment, website publishing, team selection, and results. For football clubs affiliated to their county FA it integrates with the Whole Game System. The strength is the integrated payment collection - members pay online at registration rather than handing cash to the treasurer. Paid tiers start at around £30 per month.
What Spond does differently
Spond is free and focused on communication and attendance rather than membership administration. It handles group messaging, event invitations, and attendance tracking well. For clubs that already have membership sorted and just need better communication, Spond is excellent. It does not handle payment collection or financial reporting. It is a good complement to a simpler membership system rather than a complete replacement.
The things the software does not solve
The actual problem in most grassroots clubs is not the software. It is the data. Incomplete contact details. Members registered in last season who never migrated. Children registered under parent email addresses. No software solves bad data. The clubs that get the most from membership software are the ones that spend time cleaning their data before migrating, not after.
When a custom tool makes sense
Most grassroots clubs do not need custom software. They need to choose one of the existing platforms and use it consistently. The exception is clubs with specific requirements the generic platforms handle badly. Multi-sport clubs where membership tiers cross sports in complex ways. Clubs with means-tested membership fees. Clubs running their own facility where membership is linked to facility access and booking.
