How to Prepare Your Business Data for Self Assessment (UK 2026)

Self assessment is an annual deadline that catches many UK business owners unprepared - not because the tax calculation is complex, but because the underlying data is not organised. The scramble to find invoices, reconcile records, and calculate allowable expenses in January is entirely avoidable with the right habits throughout the year.

What HMRC actually needs from your records

For self assessment purposes HMRC requires records of all business income - every invoice raised and every payment received - and all allowable business expenses. These need to be kept for at least five years after the relevant tax return submission date. The format is flexible: accounting software, spreadsheets, or even paper records are all acceptable as long as they are complete and accurate. The problem is not usually the format but the completeness - expenses claimed without receipts, income recorded inconsistently, personal and business transactions mixed in the same account.

The separation that makes everything easier

A dedicated business bank account is the single most impactful step most sole traders and directors can take. When all business income comes in and all business expenses go out through a single account, the data for self assessment is already segregated. The bank statement becomes the primary record. Connecting that account to accounting software - Xero, QuickBooks, or FreeAgent - with a bank feed means transactions are recorded automatically as they happen, not reconstructed from memory at year-end.

The expenses most business owners miss

The allowable expenses that are most commonly missed in self assessment are the ones that straddle personal and business use. Home office costs - a proportion of heating, electricity, broadband, and council tax if you work from home - are allowable but require a calculation. Business mileage in a personal vehicle is allowable at HMRC approved rates but requires a mileage log. Professional subscriptions, training costs directly related to your work, and software used exclusively for business purposes are all allowable. Keeping a running record of these throughout the year is significantly easier than reconstructing them in January.

Building a year-round data habit

The businesses with the smoothest self assessment process are the ones that treat their records as a live document rather than a year-end task. Receipts photographed and uploaded immediately rather than accumulated in a drawer. Invoices raised and recorded at the time of sale rather than reconstructed quarterly. Bank reconciliation done monthly rather than annually. These habits individually take minutes to maintain. Collectively they mean self assessment is a review of organised data rather than a forensic reconstruction of a year of activity.
