What they both do

Both tools let you create automated workflows — often called flows or zaps — that trigger when something happens in one app and perform actions in another. A new invoice is raised in Xero, a record is updated in your CRM. These are the kinds of workflows both tools handle well.

Where Power Automate wins

Power Automate is the clear choice for businesses running on Microsoft 365. It integrates deeply with Teams, SharePoint, Outlook, Excel, and the full Microsoft ecosystem in ways Zapier cannot match. It is included in most Microsoft 365 business plans, which makes it effectively free for businesses already paying for Office. It also handles more complex logic — conditions, loops, approvals — more naturally than Zapier, and its AI Builder features are increasingly powerful for document processing.

Where Zapier wins

Zapier connects to more third-party apps than Power Automate — over 6,000 versus around 1,000. If your workflow involves non-Microsoft tools — HubSpot, Salesforce, Airtable, Typeform, Shopify — Zapier almost certainly has a connector and Power Automate may not. Zapier is also simpler to set up for non-technical users. The interface is more intuitive and the documentation is better for beginners.

Pricing comparison for UK businesses

Power Automate is included in Microsoft 365 Business Basic (£5.10/user/month) and above — most businesses already paying for Microsoft 365 effectively get it free. Zapier starts free for simple single-step workflows and rises to £19.99/month for the Starter plan and £49/month for Professional. For businesses not already on Microsoft 365, Zapier is more accessible. For those who are, Power Automate is the obvious choice.

When neither is the right answer

Both Power Automate and Zapier are best suited to connecting existing apps via pre-built connectors. When your process requires custom logic that the connectors cannot handle, when you need to process data in ways the tools cannot support, or when your workflow involves proprietary or legacy systems without connectors — a custom integration built in Python or as part of a bespoke tool is often more reliable, more flexible, and better value over time.
