The CRM market is enormous and the options are genuinely good. Salesforce, HubSpot, Pipedrive, Monday, Zoho. All of them work. All of them have free tiers that turn into meaningful monthly costs once you need more than basic functionality. The question of whether to build a custom CRM rather than buy one of these is not primarily a technical question. It is a financial and strategic one.

The 3-year cost calculation you should do before deciding

The error most businesses make is comparing the upfront cost of a custom build to the monthly cost of a SaaS CRM. The correct comparison is the total cost over three years. Take your current or intended SaaS CRM cost per month, multiply by 36, add implementation costs, add any customisation work you have paid for or expect to pay for, add the cost of any integrations. Reporting that answers the questions your leadership team actually asks. Integrations with the specific tools you use. A bespoke CRM that does six things well outperforms a generic CRM that does sixty things adequately for most teams.

The custom CRM projects that go wrong almost always go wrong in the same place: starting to build before the requirements are fully understood. Spending four weeks on requirements before writing a line of code produces a better outcome than spending four weeks building and discovering you got the data model wrong. The requirements for a CRM are what you discover you need after you have mapped your actual sales process and interviewed the people who will use it daily.

What to expect in terms of cost and timeline

A custom CRM for a team of five to twenty people typically costs between £8,000 and £20,000 depending on complexity and the number of integrations. It takes eight to sixteen weeks to build properly. The ongoing cost after launch is hosting - typically £30 to £100 per month on a cloud platform. No per-user licence. No annual price increases. No features locked behind a higher tier.
